Understanding how Wecora is organized

Projects are really the first layer of organization within Wecora. You can think of a project as a project binder of sorts. Wecora boards are then created and stored within these projects. So if my clients are the Smiths, I will most likely create Wecora project entitled "Smith Residence". Within that project, I'll probably create a board for the kitchen, another for the bathroom, one for the paint schedule, etc. Make sense?

Next up, we have boards. You can think of boards as the files stored within that project binder. You can create as many boards per project that you're working on as you'd like! We find our pros create and average of 8-10 boards per project. So if we go back to the "Smith Residence" example for our project, the boards created for that project may look something like this...

  • Kitchen

  • Master Bath

  • Living Room

  • Paint Schedule

  • Custom Furniture

  • Exterior

etc., etc., etc. Pretty much, we suggest creating a board for each area of focus.

*Pro tip - please do not try to put an entire project on one board for several reasons:

  1. Can you imagine how much scrolling that would eventually involve as your project progresses?

  2. If your client needs to reference a chandelier, they will know to immediately head to the "Lighting" board instead of having to try to figure out where it is on one massive board of products and ideas.

  3. Your Wecora image library! Every image you ever add to any Wecora board is accessible for you here (click the orange + button from any board > ADD FROM PROJECTS) to select from over and over again. These are auto-organized for you by project, yes, but also by board, so the board is another way to stay organized going forward.

*Create boards at any time by going to FILE>NEW>BOARD from any existing board, or simply clicking the orange NEW BOARD button from your account dashboard.

Then there are groups. Groups help to organize and give structure to the board itself. If I'm doing a "Kitchen" (board) for the Smiths (project), then I may create groups that look something like this....

  • Project Ideas

  • Faucet Options

  • Countertops

  • Sink Options

  • Hardware

etc., etc., etc. You can create as many groups as you'd like (scroll to the bottom of the board and click ADD NEW GROUP), rename them, and move items around easily in between them. If you're utilizing groups to the fullest, there's really no need for questions like "Where was this fabric being used?". If it's tucked nicely inside of the CUSTOM WINDOW TREATMENT FABRICS group, then everyone immediately is aware.

Finally, we arrive at items. "Items" are really anything in the world that you want to add to your Wecora boards (click the big orange + to do so). You can add files, links, videos, products, ideas, floorplans, invoices...you name it! Here's a great article that goes in depth regarding the different ways you can add to your Wecora boards (there are so many options!). If you even think you'll need it for your project now or to reference in the future, we beg of you...please, please, please do yourself a favor and add that item to a board (before it gets lost in endless emails, texts, files on your computer, or in the backseat of your car).

As we mentioned earlier, every item you ever add to a Wecora board is automatically organized for you to simply drag and drop from whenever you need to in the future. It's really that simple!

Projects>Boards>Groups>Items...that's really the hierarchy of Wecora. We can appreciate that this flow may be different from the way you're used to working, but we promise! Once you make a few boards, you'll be well on your way to pro status.
